Cancellation & Refund Policy

Please read our cancellation and refund policy carefully. This policy outlines your rights and obligations for services purchased through Elite Travel Agency Cappadocia. It reflects Turkish Consumer Protection Law No. 6502, the Distance Sales Contracts Regulation, and applicable tourism legislation.

This Cancellation & Refund Policy applies to reservations made through Elite Travel Agency Cappadocia for tours, activities, and related travel services offered on our website. Some services are delivered by independent third-party suppliers (e.g., licensed balloon operators, transportation companies, activity providers, or hotels). Where a supplier's specific conditions apply, those conditions may affect refund eligibility and rescheduling options.

Important note on consumer withdrawal rights

Our services are typically scheduled for a specific date and/or time. Under Turkish Consumer Protection Law No. 6502 and the Distance Sales Contracts Regulation, the right of withdrawal may not apply to certain leisure services provided on a specific date or within a specific period. This policy explains the cancellation and refund rules that apply to date-based travel services.

1) Definitions

  • Service start time: The scheduled start time shown on your booking confirmation (and/or the pickup time, where pickup is provided).
  • No-show: Failure to attend the pickup or the service start without prior written notice, or arriving too late to participate.
  • Written notice: A cancellation/change request sent to our support email from the email address used during booking (or including your booking code for verification).
  • Full refund: A refund of the amount paid, except for any non-refundable payment processing fees charged by payment providers and/or suppliers (up to 3%), where applicable.

2) Hot Air Balloon Flights

Customer cancellations

  • Cancel at least 48 hours before the service start time to receive a full refund.
  • Cancellations made less than 48 hours before the service start time are non-refundable.
  • Requests to change the date/time made less than 48 hours before the service start time may not be accepted.
  • No-shows are non-refundable.

Weather & safety cancellations

Balloon flights depend on weather conditions and official flight permissions. If a flight is cancelled due to weather or safety reasons, you will be offered:

  • Rescheduling to the next available date (subject to availability), or
  • A full refund if rescheduling is not possible or not accepted by you.

Third-party operator rules

Balloon flights are operated by licensed balloon operators. Elite Travel Agency Cappadocia may act as an intermediary between the customer and the supplier. Operational decisions (flight permissions, safety cancellations, final passenger lists, and rescheduling capacity) are determined by the supplier and relevant authorities.

3) Tours & Activities (Non-balloon)

Unless a specific activity page or booking confirmation states different terms, the following rules apply:

  • Cancel at least 48 hours before the tour start time for a full refund.
  • Cancellations made less than 48 hours before the tour start time are non-refundable.
  • No-shows are non-refundable.

Some activities may include third-party tickets, permits, limited-capacity components, or supplier rules. Where applicable, those components may be non-refundable, and this will be stated on the activity page or during checkout.

4) Transfers & Transportation Services

  • Cancel at least 24 hours before the scheduled pickup time for a full refund.
  • Cancellations made less than 24 hours before pickup, and no-shows, are non-refundable.
  • Delays or issues caused by incorrect flight/hotel information provided by the customer are the customer's responsibility.

5) Accommodation (if applicable)

Hotel and accommodation bookings are subject to the cancellation rules of the relevant accommodation provider. Free cancellation windows (if available) and refund eligibility will be shown at the time of booking.

6) Changes requested by the customer

  • Change requests (date/time/name changes) are subject to availability and supplier approval.
  • Price differences may apply if rates change or if the new date has higher supplier pricing.
  • Changes are not guaranteed, especially close to the service start time.

7) Force majeure

In cases of force majeure (including but not limited to natural disasters, extreme weather events, government restrictions, strikes, or major transportation disruptions), refunds and rescheduling options may be limited by supplier policies and operational feasibility. We will evaluate each case fairly and offer the best available solution (reschedule, credit/voucher where applicable, or refund where possible).

8) Refund process

  • Approved refunds are processed to the original payment method.
  • Payment processing fees: Some payment providers and/or third-party suppliers may charge non-refundable transaction fees. If such fees are not returned to us, we may deduct the actual non-refundable fee from your refund (up to 3% of the payment amount), where applicable.
  • We aim to process approved refunds within 14 days. Banks and payment providers may take additional time to reflect the refund on your account.
  • Refund amounts may vary slightly due to exchange rates, bank fees, or payment provider rules outside our control.
  • Elite Travel Agency Cappadocia is not responsible for delays caused by banks, card issuers, or payment institutions.

9) How to cancel

To request a cancellation or change, email us at [email protected] with your booking code, customer name, and the service date. Cancellation deadlines are calculated based on the time we receive your written notice.
